Reservation Tips & Other Information: Whether you use the BikerOne/TravelNow reservation system above, or you make your reservations somewhere else, there are a few things you need to remember.
Confirmation Number: Make sure you get and record your dates & confirmation number. If you show up at a hotel and they cannot find your reservation, you will need that number. If you have sent a deposit or given a credit card to pay for the room, make sure you are sent a receipt and take the receipt with you to show the hotel at check-in if necessary.
Hotels overbook: Some hotels overbook to insure they sell every room. If going to an event, be sure to arrive early. It's the last people to arrive who have to go elsewhere, if necessary. In some areas it is customary or may be law, that if a hotel "walks" you to another hotel because of a overbooking situation, they may be responsible for your 1st nights room & tax at the other hotel. They usually will not tell you this unless you ask. Check the laws of that state/city or check with the local Chamber of Commerce.
Call ahead: Sometimes reservations are made over a year in advance of an event. Whether you have made your reservations months ago or just recently, I would always recommend calling the hotel a few days prior to your arrival to make sure they still have your reservation. Honest mistakes happen, computers go down, crash, etc. Just make sure everything is correct and lined up so you have an enjoyable trip with no hassles.
Cancellation Policy: Most all hotels I have dealt with for Bike Events require a deposit of at least one night and sometimes more. Some cancellation policies are 30 to 90 days in advance of your arrival. Be sure to ask what their cancellation policy is and the date it will be effective. If canceling after the cancellation date, find out how much money, if any, you will be refunded.
Get a name: If you are speaking to someone at the hotel directly, be sure to get the name of the person who provided all of the information. Especially if the information sounds too good to be true!
Condition of Facility: At any Bike Event, you will almost always pay in excess of $100 (or much more) per night. We have all ended up in facilities paying over $100 to discover it's in very bad shape. If you are dealing with a small independent hotel/motel or even some chains, you may want to ask for a brochure to be sent to you. Also ask if the brochure shows the facility as it is today! If not, ask when the facility was remodeled last.
Parking: As you well know parking is always a hassle at any bike event. Ask your hotel when making reservations if they will have a designated area for guest or motorcycle parking. If you are hauling your bikes on a trailer, make sure they have room for your vehicle and trailer as well! Also, if you are going to be out most of the day at the events, ask them if you will have a parking spot that evening. On more than one occasion I have returned to a hotel late at night only to discover that I had no place to park.
Security: When parking, be sure your bike is securely locked or chained. In most areas, hotels are not responsible for the bike or vehicle of damages, stolen or items stolen from the bike. In the hotel room, make sure the door is always locked. ...................Once again, hotels are not responsible for theft or break-ins to rooms. Never leave cash, jewelry, or other valuables lying around. Most hotels offer safety deposit boxes at little or no charge. Use them!
Too much to carry on your bike........Ship It - Don't overload the bike!: If you are traveling to the event on your bike, we know how much space is available, no too much! If space is a big issue and you need more room, consider shipping some of the items/clothes you will need directly to the hotel. BE SURE TO GET A TRACKING NUMBER. When leaving, call UPS or FedEx or another carrier to arrange a pick-up of your box at the hotel on the date of your departure. The same goes with souvenirs or other items you may have purchased at the event. Stop at a Mail Box Store or the Post Office. All of these facilities have boxes and large envelopes you can purchase. Send your items home so you don't have to bother with them on your trip. Print up a few labels with your name and address on them for quick-shipping.
